02Windows

Four windows that do not come round again

Site supervision is largely a question of timing. These four states are open for a short while and then closed for the life of the building. A visit for them is in the diary before the contractor turns up.

Reinforcement before the pour

Open for A few hours

Bar positions, lap lengths, cover and the spacers. Once the concrete is in, only what was checked beforehand still counts.

Waterproofing before the build up

Open for One working day

Junctions with rising elements, penetrations and transitions. Finding a leak under a finished build up costs many times what a visit costs.

Services before plastering

Open for One to two days

Runs, boxes and openings are recorded while they are still visible. Everyone who later wants to drill into a wall needs those records.

Shell before the lining

Open for Until the trade arrives

Grid dimensions, openings, bearings and connections against the working drawing. After drylining and facade every correction is a demolition.

NoteWhat is recorded inside those windows can later be evidenced. What is not recorded stays one assertion against another.

03A visit

What actually happens during a visit

A site visit is not a stroll around the plot. It follows a fixed order, and it ends with something written that reaches you the same day.

  1. Step 01

    Record the state of the works

    First we note how far the site has got, which contractors are working and what the weather was. Those notes carry every later statement about programme.

  2. Step 02

    Inspect at the element

    Then the element itself is examined, with the drawing and the calculation alongside. Measurements are taken where a deviation would have consequences, not evenly everywhere.

  3. Step 03

    Speak to the contractors

    A great deal is settled on the spot while the people involved are still standing there. What cannot be settled is described and located.

  4. Step 04

    Report what cannot wait

    Anything touching cost, programme or structural safety reaches you the same day. The rest goes into the running record.

05Quantities

Quantities, variations, invoices

The second half of site supervision does not happen on the scaffold but at the desk. It decides what a site ends up costing.

Measure while you still can

Quantities are taken while the element is still accessible. An invoice for a quantity nobody can measure any more can only be believed or refused.

Variations before they exist

A variation is examined before the work is carried out. Afterwards the price is a negotiation without an alternative, because the element already stands.

Invoices against the real state

Interim invoices are held against the actual state of the works and not against the calendar. Payment ahead of the work is the commonest avoidable loss.

Common questions about site supervision

What clients in Wegberg most often want to know before they commission supervision.

Do I need supervision if I am building with a contractor?

The contractor has its own site management, and that represents the contractor. Supervision on the client side looks at the same site, but from your point of view. The two do not exclude each other, they are two different roles.

How often do you come to the site?

To the programme, not to the calendar. During foundations and the structural shell the visits are close together, because elements disappear there. During fit out it is more about the interfaces between trades. We agree the rhythm at the start.

Can you step in once building has started?

Yes. We then first record what has already been built and fix that state, so it is later clear what predated our involvement. The earlier we start, the more of it is still visible.

Do you take on the contractor liability?

No. The contractor owes its work under the contract and under the recognised rules of technology, and that stays where it is. Supervision makes sure deviations are noticed while they can still be put right.

What does supervision cost?

The fee follows the German HOAI scale and depends on the scope and on how long the site runs. You get a quotation beforehand that describes the scope. Individual visits can also be commissioned separately.

What do I get in writing?

The running record of the visits with the state of the works and photographs of the construction states, together with the measured quantities needed for accounting and the reports of deviations with their dates.

Do you also do the design and the structural calculations?

Yes, both sit in the office. That is not a requirement for supervision, but it helps: whoever calculated the structure knows on site where a deviation really counts.
